Set up your Splose workspace

First, set up locations, practitioners and services in Splose so that our team can map your data from power diary to Splose.

Locations

Set up all locations (including archived ones) in Splose.

Practitioners & Members

Invite all practitioners (including archived ones) to Splose. You can also invite admin members and your accountant. Ensure all of your members have accepted the Splose invite before the data import commences.

Services

Set up services (including archived ones) to Splose. Set up face-to-face services as appointments and non-face-to-face services as support activities.


What data can be transferred from power diary to Splose

The following can be transferred from power diary to Splose through the import.:

  • Clients

  • Contacts

  • Appointments

  • Progress notes

  • Intake forms

  • Files


Debtor management

If you are a Xero user and your debtors are in Xero, we recommend keeping them there and managing them using the Aged Receivables report. If your debtors exist in power diary, we recommend creating the debtors in Splose along with the outstanding balance. Create an invoice and add a "Custom" invoice item line and the amount. You can enter the issue date and due date, then email follow-ups right using email templates. Continue debtor management using the Aged Debtors report in Splose.

Account credit

Add account credits for clients and contacts.


Export your data from power diary

In order to export your data from power diary, you will need to head to Tools and then Data export. Select Clients, Appointments and referrers.

It may take some time for your export to download. Once completed, you will be able to download the zip file which contains CSV files of your data.

📝 Note: We recommend exporting all of your data from power diary for record-keeping purposes.

📝 Note: power diary, for some reason, does not export the name of the service in the appointments export, and only exports the title "Client appointment" or "Personal appointment".

There is a field called "Appointment Flag" which, if you have entered details here, can include information about the service type. If there are details in the appointment flag field, your appointment services can be mapped from power diary into Splose, but if the appointment flag has not been used, we can import your appointments as one service called "Power diary appointments".


Schedule your data import with Splose

The Splose team will import your data for you. Contact us via the help chat in your dashboard and book a time for your data import. We typically require seven days notice. We will provide you with a secure link that you can upload all of your data.


What happens after the transfer is complete

After the import is complete, you can view it from the Import Settings page. You have 48 hours to delete an import, should anything be missing.

Please ensure that you have checked the following:

  1. Create all locations (active and archived) and keep them active in Splose

  2. Invite all practitioners (active and inactive) and keep them active in Splose

  3. Create all services (active and archived) and keep them active in Splose

  4. Export your power diary data

  5. Book in a time with our team to import your data
