How to create your workspace

What you'll need
Have these details ready:
First and last name
Email address
Business name
Secure password
Credit card
Why we ask for your card
We collect your card details upfront to ensure a smooth transition to a paid subscription when your trial ends. If the card expires or isn’t updated in time, your subscription will automatically cancel and access to your data will be removed.
Good to know:
You’ll get a reminder email 3 days before your trial ends
Trials automatically renew into a paid monthly subscription
You can manage your plan or cancel anytime in Settings → Subscription
See our Terms of Service for full details
Only Practitioner and Practitioner Admin roles are billable- all other roles can be added at no extra cost.
Who owns the workspace?
The person who creates the workspace is set as the Account Owner.
They have full control over:
Billing and subscription
Adding and managing users
Join an existing splose workspace
If your practice already uses splose, you’ll need to be invited by an admin or account owner.
1. Accept your invitation
Keep an eye on your inbox for an email invitation. Invitations expire quickly, so be sure to click the link before it lapses.
Can’t find the email?
Check your spam or junk folder
Ask your IT team to allow emails from
@splose.com
2. Create your account
Click Accept and sign up from your email to set your password and finish setting up your account.
💡Switch two-factor authentication (2FA) on for an added layer of security
3. Check your user role
Once logged in, go to My Account to see which role you've been assigned (like Practitioner or Receptionist). Roles determine what you can see and do, and account owners can customise these further if needed.
💡 Need help with roles? Read our user roles and permissions guide.
Invite team members to your workspace
You can invite practitioners, practice managers, receptionists, accountants and more.
Head to Settings → Users, then click Invite users.
You’ll need to enter each person’s:
First and last name
Email address
Role
You can invite users one at a time or in bulk.
📌 Important invitation tips
Pending invites will show as Active (Invitation sent)
Don’t assign appointments to a user until they’ve accepted their invite
If you need to resend an invite, go to Settings → Users → Resend invite
⚠️Avoid cancelling an invite unless necessary. Cancelling invites deletes the user’s profile and any linked appointments. Ask the user to accept their invite before assigning any data to their profile.
What if the invite expired?
If the invite link has expired, you can resend a fresh one:
Go to Settings → Users
Click the three dots next to the user
Select Resend invite
Billing & paid user roles
Only Practitioner and Practitioner Admin roles are billable.
All other user types- such as Receptionist, Practice Manager, and Accountant- are free to add and won’t affect your subscription.
💡 You can view and manage your active users in Settings → Subscription → Users
Need to bring someone back? Read our inactive users guide →
