Set up your Splose workspace

First, set up locations, practitioners and services in Splose so that our team can map your data from nookal to Splose.

Locations

Practitioners & Members

Invite all practitioners in Splose. You can also invite admin members and your accountant. Ensure all of your members have accepted the Splose invite before the data import commences.

Services

Set up services in Splose. Set up face-to-face services as appointments and non-face-to-face services as support activities.


What data can be transferred from nookal to Splose

The following can be transferred from nookal to Splose through the import:

  • Clients

  • Contacts

  • Appointments

  • Files

  • Progress notes (as PDF)


Debtor management

If you are a Xero user and your debtors are in Xero, we recommend keeping them there and managing them using the Aged Receivables report. If your debtors exist in nookal, we recommend creating the debtors in Splose along with the outstanding balance. Create an invoice and add a "Custom" invoice item line and the amount. You can enter the issue date and due date, then email follow-ups right using email templates. Continue debtor management using the Aged Debtors report in Splose.

Export your data from nookal

In order to export your data from nookal, you will need to head to Manage and then Data > Export. Select Client Data and Enqueue Data, then repeat for Contact Data.

It may take some time for your export to download. Once completed, you will be able to download the CSV files to provide to us.

Nookal does not provide an easy way to extract progress notes and files for all clients at once, so you will need to go into each client record, then Clinical notes, and Print/Email. Save the progress notes as PDF to your desktop. Make sure you label all the client folders so we can easily import them.

Then go into Documents and download all files required and add them to the client folder with the progress notes.

πŸ“ Note: We recommend exporting all of your data from nookal for record-keeping purposes.


Schedule your data import with Splose

The Splose team will import your data for you. Contact us via the help chat in your dashboard and book a time for your data import. We typically require seven days' notice. We will provide you with a secure link where you can upload all of your data.


What happens after the transfer is complete

After the import is complete, you can view it from the Import Settings page. You have 48 hours to delete an import, should anything be missing.


Checklist to complete before importing your data

Please ensure that you have checked the following:

  1. Create all locations (active and archived) and keep them active in Splose

  2. Invite all practitioners (active and inactive) and keep them active in Splose

  3. Create all services (active and archived) and keep them active in Splose

  4. Export your nookal data

  5. Book a time with our team to import your data
