Import data from Nookal

Import your data easily from Nookal into Splose.

Welcome to splose! Here is your all-in-one guide for moving from Nookal to splose.

Set up your splose workspace

Your workspace needs its key setup in place before we can import anything: services, locations, availability, templates, notifications, invoicing and your team. Our import team maps your Nookal data onto these, so they must exist first.

Work through Setting up splose as an account owner or admin, which covers every step in order.

Historic data, such as past appointments and notes, can only be mapped if the matching location, practitioner and service already exist in splose.

Locations

Set up all current and archived locations in splose. This is required if you're importing appointments. If you'd rather not recreate archived locations, you can match their historic appointments to an existing location during the import.

Practitioners & Members

Invite all practitioners (including archived ones), and any admin members or your accountant. Every practitioner must accept their splose invite before the import runs.

You'll need archived practitioners as users if you want their historic data imported.

⚠️ If a practitioner's invite is still pending ("Invitation Sent"), don't cancel it after the import, as this can lose their linked data. If their email is wrong, contact support to change it instead.

Services

Set up services in splose. Set up face-to-face services as appointments and non-face-to-face services as support activities.


What data can be transferred from Nookal to Splose

The following can be transferred from nookal to splose through the import:

  • Clients

  • Contacts

  • Appointments

  • Files

  • Progress notes (as PDF)


Debtor management

If you use Xero and your debtors are in Xero, keep them there and manage them with the Aged Debtors report.

If your debtors are in Nookal, recreate them in splose by raising an invoice for each outstanding balance:

  1. Create a new invoice for the client or contact.

  2. Add a Custom line item for the total owing.

  3. Set the original issue date and due date.

  4. Use email templates and invoice reminders to follow up.

Manage these in splose from the Aged Debtors report.

Account credit

You can create and refund account credit for clients as needed. With the Xero integration, credits and credit notes are a one-way sync: credits created in splose sync to Xero, but credits created in Xero don't sync back. Set up the Xero integration →


Export your data from Nookal

Nookal exports via their own support team:

  1. Contact the Nookal support team and request a full data extract.

  2. Nookal emails you a ZIP folder containing your data.

  3. Check that the export is complete before your import date.

We recommend requesting all of your data from Nookal for your own record-keeping.

Before requesting your export, we recommend confirming your intended import date with the splose team first (see below), so you can time the export as close to your go-live date as possible. This minimises the gap between the data snapshot and your first day in splose.


Schedule your data import with splose

The splose team will import your data for you. Reach out via the help chat in your dashboard to book your import date.

To book:

  1. Click the ? icon in the top-right of splose

  2. Select Chat with support → Send us a message → "I want to schedule a data import."

Please contact us 3-4 weeks before your intended go-live date so we have enough time to prepare and schedule your import.

Once you've confirmed a date, we'll send you a secure upload link to share your exported data with us.

When you get in touch, include the following so we can get things moving:

  • Your intended go-live date

  • The number of practitioners being imported

  • Whether you have already requested your full data extract from Nookal

"Hi splose team! We're moving from Nookal to splose and would like to book our data import. Our intended go-live date is [DATE]. We have [X] practitioners and have [already requested / not yet requested] our full data extract from Nookal. Could you help us get this scheduled?"

We'll provide a secure link for you to upload your data. Check that everything required is included before uploading, so your import can proceed as scheduled.


What happens after the transfer is complete

After the import is complete, you can view it from the Import Settings page. You have 48 hours to delete an import if anything is missing.

We'll notify you as each stage completes, so you'll have several chances to confirm before the import is finalised.

Checklist to complete before importing your data

  1. Create all locations (active and archived) and keep them active in splose.

  2. Invite all practitioners (active and inactive) and keep them active in splose.

  3. Create all services (active and archived) and keep them active in splose.

Nookal offboarding

  1. Export your Nookal data (request your full data extract from Nookal support).

  2. Cancel your Nookal subscription once your import is confirmed and complete.

  3. Download or save any documents or files you may need outside of the import (e.g. financial reports, custom templates).

  4. Notify any third-party integrations connected to Nookal (e.g. Xero, payment providers) that you are switching systems.

Import

  1. Contact splose 3-4 weeks before your go-live date to book your import.

  2. Upload your data via the secure link provided by the splose team.

  3. Review your imported data within 48 hours and confirm everything looks correct.

Frequently Asked Questions

Why aren't my contacts showing under Contacts?

They're included automatically, so if they're missing it's usually a missing file or a data issue in the extract. Contact your import team member to review.

Why aren't my imported clients linked to their contacts?

Nookal doesn't export those links in a way we can map during a standard import, so you'll link them manually afterwards.

What format do my progress notes import in?

As PDF, into each client's Files tab.

Why weren't my invoices and payments imported?

Financial records aren't part of a standard Nookal import. See Debtor management to recreate outstanding balances in splose.
