Set up your splose workspace

Your workspace needs its key setup in place before we can import anything: services, locations, availability, templates, notifications, invoicing and your team. Our import team maps your Coreplus data onto these, so they must exist first.

Work through Setting up splose as an account owner or admin, which covers every step in order.

Historic data, such as past appointments and notes, can only be mapped if the matching location, practitioner and service already exist in splose.

Locations

Set up all current and archived locations in splose. This is required if you're importing appointments. If you'd rather not recreate archived locations, you can match their historic appointments to an existing location during the import.

Practitioners & Admin users

Invite all practitioners (including archived ones), and any admin users or your accountant. Every practitioner must accept their splose invite before the import runs.

⚠️ If a practitioner's invite is still pending ("Invitation Sent"), don't cancel it after the import, as this can lose their linked data. If their email is wrong, contact support to change it instead.

Services

Set up all current and archived services. Set up face-to-face services as appointments and non-face-to-face services as support activities. You can consolidate unused services rather than recreating them, and skip archived ones if you're happy to match them to the closest service during the import.


What data can be transferred from Coreplus to splose

The following can be transferred from Coreplus to splose through the import.:

  • Client details

  • Contacts (Insurers & Organisation Referrers) - These are not automatically linked to clients, and will need to be manually linked after the export.

  • Client Appointments

  • Case Notes

  • Client Files

Any client fields that don't map directly to splose are stored in the Other Details section of the client profile.

Always check that all required data is present in your export before your import date, to avoid delays.

📝 We recommend exporting all of your data from Coreplus for your own record-keeping.


Debtor management

If you are a Xero user and your debtors are in Xero, we recommend keeping them there and managing them using the Aged Receivables report. If your debtors exist in Coreplus, we recommend creating the debtors in splose along with the outstanding balance. Create an invoice and add a "Custom" invoice item line and the amount. You can enter the issue date and due date, then email follow-ups right using email templates. Continue debtor management using the Aged Debtors report in splose.

Export your data from Coreplus

For multiple exports across different datasets, you will need to request these separately. For example, you will need to submit separate export requests for Details, Family, Case Notes, and Appointments

There is no time limit between requests, allowing you to queue up multiple export requests, one after another, however, please allow 12 to 24 hours for the backup export to be processed.

  1. To export your data from Coreplus, go to Setup and then Settings and click Data Backup from Coreplus.

  2. Select Run New Backup.

  3. Select all checkboxes.


    It may take some time for your export to download. Once completed, you will be able to download your exported files.

  4. Coreplus will provide you with a password for your backup ZIP folder. Please inform us of the password prior to your appointment.

📝 Note: We recommend exporting all of your data from Coreplus for record-keeping purposes.



Booking and completing your import

Book your import

  1. Click the ? icon in the top-right corner of splose.

  2. Select Chat with support, then Send us a message.

  3. Select "I want to schedule a data import" and follow the prompts.

Imports are scheduled in advance, so give as much notice as you can.

You'll be connected with a data import team member who'll walk you through the next steps.

Things to note before booking

  • How long the import takes depends on the size and complexity of your data.

  • Complete all required setup before booking, and flag any special considerations early.

  • Use the data import chat for import-related questions only. For anything else, start a new chat so the right team member can help.

Export and upload your files

Upload your final exported files to the secure link we provide by the evening before your scheduled import date, and include the Coreplus ZIP password. Double-check everything is included so the import isn't delayed.

Stay in touch during your import

We'll reach out at each stage. You'll review the imported data, complete the data mapping process, and confirm before we finalise.


What happens after the transfer is complete

We'll notify you once different stages of the import are completed, so you'll have multiple opportunities to confirm the import before it's completely finalised.

  1. Create all locations (active and archived) and keep them active in splose

  2. Invite all practitioners (active and inactive) and keep them active in splose

  3. Create all services (active and archived) and keep them active in splose

Frequently Asked Quesitons

Why aren't my contacts showing under Contacts?

They're included automatically, so if they're missing it's usually a missing file or a data issue in the export. Contact your import team member to review.

Why aren't my imported clients linked to their contacts?

Coreplus doesn't export those links in a way we can map during a standard import, so you'll link them manually afterwards. Our professional services team may be able to help.

Why weren't my invoices and payments imported?

Financial records aren't part of a standard Coreplus import. See Debtor management to recreate outstanding balances in splose.
