Managing your splose subscription

How to view and change your splose subscription, switch between monthly and yearly billing, apply a coupon, view invoices, cancel or reactivate, and understand what happens to your data.

Your splose subscription is managed from Settings > Subscription.

This article gives you an overview of each area of the subscriptions page and links to a more detailed guide where one exists.


Before you begin

  • Only the Account Owner can access Settings > Subscription. Other users won't see this area. If you need to make a change and don't have this role, contact your account owner for help.

  • Your general splose subscription and your splose AI subscription are billed separately. Each has its own Manage Subscription page under Settings > Subscription.


How to

View your current plan

To view your current splose subscription plan:

  1. Go to Settings > Subscription.

  2. You’ll land on the General tab and see your splose plan. To manage your splose AI subscription, go to the splose AI tab.

  3. Click Manage Subscription to view your plan details and billing period.


Switch between monthly to yearly billing

You can move from monthly to a yearly plan, or vice versa, at any time. To do this:

  1. Go to Settings > Subscription > General.

  2. Click Manage Subscription.

  3. Toggle your plan from Monthly to Yearly or from Yearly to Monthly.

  4. If you have a coupon code, enter it in the Coupon code field and click Apply.

  5. Click Save. The change will be made immediately and will be billed as soon as you click the button.

To switch your splose AI subscription, repeat the same steps under Settings > Subscription > splose AI to move your splose AI add-on to monthly or yearly billing. You can also manage the users you wish to include in the splose AI subscription here.

Things to note:

  • Your invoice may include an adjustment or credit when you switch billing periods.

  • The Coupon code field only appears once you've toggled to Yearly. Coupon codes can't be applied if you're already on a yearly plan.

How yearly auto-renewal works

Yearly plans renew automatically one year after your initial payment date, at the price current at the time of renewal. If pricing has increased since your last payment, the renewal will be charged at the new price.

To renew without interruption, make sure your saved payment details are up to date and there are sufficient funds available.


Update your payment details

To update your payment details:

  1. Go to Settings > Subscription

  2. Then go to Payment method

  3. Click Add new card, add your card details and click Save


View and download invoices

All subscription invoices are stored under:

  1. Settings > Subscription > Invoices.

  2. Click View next to any invoice, then select to Download invoice or receipt to see full payment, tax information and download a copy.

splose doesn't generate a single statement of all payments; each invoice is downloaded individually.


Understand unexpected charges

The most common causes of an unexpected charge are:

  • A second workspace or duplicate account with its own active subscription.

  • A free trial converting to a paid plan at the end of the trial period.

  • The splose AI add-on, which is billed separately from your general subscription and charged on activation.

  • An adjustment when switching between monthly and yearly billing.

Check Settings > Subscription and Settings > Subscription > Invoices to confirm what's active and what you've been charged for.


Reduce costs when a practitioner is on leave

splose doesn't offer a pause option or reduced rates for periods of non-use. If a practitioner is on leave, deactivate their user under Settings > Users to stop charges for that user while keeping their data. A pro-rated credit for the unused portion of their billing cycle is applied to future subscription charges.

If your whole practice is taking a break, cancelling is the only option. Your data is retained after cancellation (see the ‘What happens to your data after you cancel’ section below).


Cancel your subscription

To cancel your subscription:

  1. Go to Settings > Subscription > Cancel plan.

  2. Follow the prompts to confirm.

To cancel just the splose AI add-on, go to Settings > Subscription > splose AI > Manage subscription > Cancel subscription.

You keep access until the end of your current billing period. No refunds are issued on cancellation, so cancel before your next billing date to avoid another charge. If you have an unpaid invoice, cancellation won't complete until it's paid.


What happens to your data after you cancel

Your data is retained for 3 months after cancellation.

You can request a one-time extension of a further 3 months (6 months total) by contacting splose at least a week before the initial period ends. After the retention period, data is anonymised and permanently deleted.

You can't log in to view data while your subscription is cancelled, so export anything you need before cancelling via Settings > Export.


Reactivate your subscription

To reactivate your subscription:

  1. Log in using your original workspace URL. A subscription page will show your previous plan

  2. Select Edit & Reactivate Subscription to restore your workspace and data. Data restoration works within the data retention period only.

Important: if you simply want to reactivate your subscription to view your data, keep in mind that you can’t change the number of users linked to your previous subscription when you cancelled it. You will have to pay for all users that were added to the account linked to the last invoice you paid before cancelling.

FAQs

Can I pause my subscription?

No. Cancel and reactivate within the retention period instead, or deactivate individual users to reduce costs.

Who can change the subscription?

Only the Account Owner.

Will I get a refund if I cancel?

No. You keep access until the end of the billing period you've paid for.

Does my yearly plan renew automatically?

Yes, one year after your initial payment, at the current price.

Can I get a discount for switching to yearly?

Switching from monthly to yearly has an automatic 10% saving.
