When you cancel your splose subscription, your data is handled securely and in accordance with splose's data retention policies. Below, we outline the key details regarding data retention, export, reactivation, and deletion.
Data Retention Policy
Initial Retention Period: After cancellation, your data will be securely stored for 3 months. This allows you to reactivate your subscription and regain access to your data during this time.
Extension Option: If you need more time, you can request a one-time extension for an additional 3 months, making a total retention period of 6 months. To request an extension, notify Splose at least one week before the initial 3-month period ends.
After Retention: Once the retention period (up to 6 months) expires, your data will be anonymised and permanently deleted in accordance with splose’s data retention policy.
Data Export Options
You can export your data at any time before it is permanently deleted. Here’s how:
Export All Workspace Data: - Navigate to Settings > Export in your Splose account. - Select the data sets you wish to export, such as appointments, cases, contacts, invoices, and more. - Enable the “Include archived” option if you want archived records included.
Export Individual Client Files: - Open the client’s profile. - Click Actions > Export Data. - Select specific data types or choose all. - You will receive an email with a secure, one-time download link valid for 24 hours.
Reactivating Your Subscription
If you reactivate your subscription within the retention period (up to 6 months if extended), you will regain access to all your previously stored data, including templates and client documents.
Reactivation ensures continuity and allows you to pick up where you left off without losing any information.
Permanent Deletion of Data
After the retention period ends, your data will be anonymised and permanently deleted. This process is irreversible.
If you wish to delete your data immediately after cancellation, you can do so manually within your account settings.
