Calendar Overview

The calendar tab is a powerful hub for your appointments, support activities, practitioner availability, and busy times.

The Calendar tab is your practice's central hub, providing you with an overview of appointments, availability, and busy times.


Before you begin

You can do the following on the Calendar:

  • Create appointments

  • Create support activities

  • Access the details of an appointment/support activity, including:

    • The client file

    • Client details

    • Appointment status

    • Invoices

    • Progress Notes

    • Rooms/resources

    • Organiser

    • Appointment notes

  • Set practitioner busy times


How to

Customise your Calendar view

Change your date view

  1. First, select the interval that you would like your calendar to be displayed in. To do this, select the interval drop-down menu and select Day, Month, or Week.

  2. Once you have selected your interval, select the date at the top of the page. From here, you can select the day, week, or month you would like to view. This will change based on the interval that you previously selected.

Customise additional calendar details

Next to the date range selector, select the Settings cog button to change additional settings on your calendar.

Here, you can edit the following:

Default view - The view that appears when you select the Calendar tab

Time slot length - How long each time slot is in Day and Week view

Time slot height (pixels) - How tall you would like the time slot to appear in your calendar

Calendar day start - The start time range for your calendar to display

Calendar day end - The end time range for your calendar to display

Excluded days - Select days of the week that you would like to hide on your calendar

Once you have set your preferences, select Save.


Calendar filters

Calendar filters allow you to view or remove certain information from your calendar view.

Here, you can edit the following:

Show Google calendar - Show or hide events from your linked Google Calendar integration

Blue Sensitive information - Hide client names on your calendar

Show cancelled appointments - Show or hide cancelled appointments on your calendar

Hide unavailable practitioners - Show or hide unavailable practitioners on your calendar

Show rooms/resources colour - Displays a coloured tag on a room or resource to easily distinguish between them at a glance

Once you have set your preferences, select Save.


Filter locations and practitioners

Filtering locations and practitioners allows you to see a high-level view of your location or practitioner schedule.

To filter by locations, select the Locations drop-down, then select the location you would like to view.

To filter by practitioner, select the Practitioner filter drop-down, then select whether you'd like to view all practitioners, specific groups, or specific practitioners.


Display rooms and resources in your calendar view

Displaying rooms/resources in your calendar gives you a top-level view of how your resources are utilised, and helps prevent overlap when booking appointments/support activities. To do this, select the Calendar drop-down menu, then select Rooms/resources.


Create an appointment or support activity from the calendar

  1. Navigate to the Calendar tab.

  2. Select the time slot for your appointment/support activity.

  3. Fill in the details, then select Create.
