This guide demonstrates how to link an ACC claim to an appointment and two methods that you can use interchangeably to identify ACC appointments that do not have ACC claims linked.
Linking an ACC claim to an appointment
Before invoicing ACC for any services or support activities you must link an ACC claim to the appointment or support activity. In splose, once a claim is linked to an appointment, it becomes ready and visible for invoicing to ACC in our invoicing section.
Add a claim to an appointment by first clicking on an appointment from the calendar view and selecting edit. That will bring up the appointment module seen in the image below. Click on the Claim number field to display the ACC claims linked to this patient.
View ACC claim read codes and date of injury
When selecting an ACC claim to link to the appointment, hovering your mouse over the ACC claim number will display the read code description and date of injury to help you identify which claim is appropriate.
Identifying ACC services that do not have an ACC claim linked
Method 1: ACC calendar icon
Once you have linked an ACC claim to an appointment our ACC calendar icon will be visible. The ACC calendar icon serves as a great reminder for users to check visually for any appointments that do not have an ACC claim linked.
Tip: Service colour for ACC services
To more easily identify appointments that should have an ACC icon assigned it’s recommended to use consistent colours when setting up your ACC-related services. For example, assigning shades of green to ACC-related appointments can help quickly identify those that should have an ACC icon, while distinguishing them from non-ACC appointments. For instance, a new patient appointment could be a deep green, and a follow-up appointment a lighter green such as in the image below.
Method 2: splose reports
You can use splose's powerful reports section to run a report on all ACC appointments and support activities that do not have an ACC claim linked.
To accomplish this, navigate to Reports and select Appointments. Use filters to display ACC services and support activities. To simplify this process, we recommend tagging all ACC services and support activities with a tag such as "ACC" or "ACC service," which can then be selected as a filter. Next, apply a second filter, Contains ACC Claim, and select No to identify appointments without a linked ACC claim. Depending on your ACC contract, you may also want to add a third filter, Appointment Status, to exclude cancelled or "Did Not Arrive" appointments. Repeat this process in the Support Activities tab for all ACC support activities such as ACC report writing.
Adding the claim to the appointment
To add an ACC claim to an appointment, scroll down to the Appointment List. For each appointment, click the three dots on the right-hand side and select View Details. This will open the appointment module, where you can edit the appointment and link an ACC claim.
