Permanently delete a client

Permanently delete a client to remove them from your workspace forever. This action cannot be undone.

Deleting a client removes their record from your workspace permanently, and it can't be undone. It isn't the right tool for most situations: if you want a client out of your calendar and reports, archive them instead, and if you're clearing up a duplicate, merge the two records.

This guide covers what to consider before deleting a client, and how to delete one once you're sure.


Before you begin

Consider the alternatives first:

  • To take a client out of your calendar and reports while keeping their information, archive them instead. Archiving retains the client's information and can be undone.

  • If the record is a duplicate, merge the two clients instead. Merging consolidates the appointments, notes, invoices and files from both records into one. Do this before archiving. You can't merge an archived record with an active one.

  • If you want your own copy of the record before it goes, open the client's profile and click Actions > Export Data.

Then, when you're sure, you must archive the client before you can delete them.

Deleting a client is permanent and cannot be undone.


Delete a client

The steps below outline how to permanently delete a client once you've archived them.

  1. Go to the Clients tab.

  2. Next to the Name column, select the Filters icon.

  3. Select the Archived checkbox.

  4. Click OK.

  5. Select the archived client.

  6. Click the Actions drop-down.

  7. Select Delete.

  8. Type the client's full name to confirm.

  9. Select I understand the consequences, delete [client name].

Why can't I delete this client?

You have to archive a client before you can delete them. Archive the client first, then follow the steps above.

I deleted a client by mistake; can I get them back?

No. Deleting is permanent and can't be undone.

Should I delete a duplicate client record?

Usually not. Merge the two records instead, which consolidates the appointments, notes, invoices and files from both.

Can I keep a copy of the record before deleting it?

Yes. Open the client's profile and click Actions > Export Data.
