Using splose AI

splose AI saves you hours by streamlining clinical documentation and reducing your administrative burden

This guide outlines how to use splose’s AI’s various features, make the most of its capabilities and save yourself and your practice hours of time.


What is splose AI?

splose AI is a set of AI-powered features within splose that help you streamline clinical documentation and reduce administrative burden, saving you hours!

The splose AI window is accessible on the calendar, when writing a progress note and when creating a letter.


Before You Start

  • Only account owners can subscribe to and activate splose AI

  • Can't access splose AI? Contact your account owner/admin & check if you've been added to the splose AI subscription

  • Before using splose AI in your normal workflow with actual clients, we recommend you first create a test client to use to familiarise yourself with splose AI


Test out splose AI

Once you have access to splose AI, we recommend you create a test client to use while familiarising yourself with what it can do.

Giving the client a brief treatment history will provide splose AI with more context to work with when you go to generate any documentation.

Alternatively, if you’re happy to do so and your workspace permissions allow, you can use a real client with an existing progress note history.

Once you’ve created this test client, or chosen an existing client to use, follow the steps outlined below to test out splose AI’s features.


How to

Transcribe with Voice to text

Use voice-to-text to turn the recorded audio or dictated summary of a session into a written transcript.

There are two voice-to-text modes:

  • Transcribe: Record a session with multiple speakers. Requires client consent. The session can be recorded through splose in your browser or you can upload a recording of the session.

  • Dictate: Typically used by a single speaker to summarise post session. You can dictate a recording live through splose, or you can upload one you recorded earlier.

Important: Always obtain client consent before recording a session with multiple speakers.

To transcribe or dictate a session:

  1. Open a progress note

  2. Then click the purple Microphone icon

  3. Choose Transcribe or Dictate. If selecting transcribe, ensure you have client consent to use AI to transcribe the session and tick the consent box

4. Click Start recording or Upload File. Uploaded files will be transcribed immediately

You can pause your recording anytime. Some practitioners like to record a session live, press pause, and then resume recording to dictate more detail on their own afterwards. This is a great way to combine a session recording with dictation.

5. If recording live through splose, click Finish when you're done recording. The recording will then be transcribed


Use the Ask splose AI chat

Use prompts to draw key information from a transcribed session, as well as any previous progress notes and uploaded files, to generate the information you need.

You might prompt the chat to help you catch up on your last session, surface a list of the last appointments your patient attended, or most commonly, draft clinical documentation. You can also upload documents via the paperclip icon.

Keep in mind Ask splose AI is a conversational thread and will often require more than one prompt to get the ideal result. Refining what it produces is part of the process.

To use the Ask splose AI chat:

  1. On a progress note, in the splose AI chat window select a saved prompt (if your workspace already has saved prompts set up) OR type a new prompt to gather the information you require

  2. Review the response and continue prompting the chat to refine its output as needed. If you are drafting a progress note, apply your clinical judgement to refine and finalise the draft note.

  3. When ready, click Insert to note

Best practices for prompts:

  • Specify the section you're writing (e.g., "This is the Behaviour section of a BIRP note")

  • Mention your profession or discipline for context (e.g., "As a speech pathologist...")

  • Define the data sources you want AI to use (transcript, previous notes, client details)

  • Set clear boundaries about what to include and exclude

  • Specify the format (dot points, paragraphs, maximum length)

Use AI blocks (Beta)

This feature is currently in testing.

Another splose AI feature that can assist you with clinical documentation is AI blocks.

What’s the difference between Ask splose AI chat and AI blocks?

Ask splose AI chat

A conversational, AI powered chat accessible when editing a progress note. Use prompts to direct the chat to generate the content you need.

This could include asking the chat to give you a summary of the last session, to review an uploaded document, to provide a list of the patient's previous appointments, or to draft clinical documentation.

AI Blocks

Blocks that can be placed directly in a progress note, to which you can add prompts to generate the content you want within the note, meaning you don’t have to generate the content in the Ask splose AI chat then copy and paste it into the progress note.

AI blocks can be added to progress note templates and your workspace admin may have already created a template containing an AI block for you to use.

Both Ask splose AI and AI blocks have access to all transcriptions, previous progress notes for the client and will draw from them as it responds to prompts. However only the Ask splose AI chat can analyse uploaded files.

Save splose AI prompts

If your workspace owner has given you permission to create saved prompts, its a great idea to set up a library of reusable prompts to save time.

These saved prompts should be ones you’ve tested and are certain will perform as you want them to. Then, as you use them day-to-day, go back and refine them as needed. Refining is an important step!

Important: Setting up saved prompts may be time-consuming initially, but it is the most important step to make the most of splose AI and will save you and your practice hours. General prompts lead to generic results. Strong prompts will ensure splose AI is a powerful assistant in your work.

To save a prompt:

  1. Go to Settings > splose AI > Saved prompts. Alternatively, you can access the library via an Ask splose AI chat by going to Saved prompts > Saved prompts settings > Saved prompts tab

  2. From the saved prompts library you can review and edit default prompts by clicking the three dots (•••) in the Actions column, then Edit.

    OR you can create a new prompt by clicking the + New Prompt button

  3. Name the prompt clearly (e.g. "SOAP Progress Note")

    Assign it to a specific user group or set it as available to any user at your organisation and add the prompt text

  4. When ready, click Create


Upload files to splose AI

Use AI file upload to analyse documents, such as specialist reports, treatment plans and discharge summaries.

To do this:

  1. In the Ask splose AI chat box in a progress note or letter, click the Attach files paperclip

  2. Select a document either by upload or from the client’s saved files (up to 3 files of 200MB each)

  3. Prompt splose AI to review the document and extract the desired information eg. "Summarise key findings" or "Extract medication list"

  4. Refine as needed and use the response in your documentation


Write an email with splose AI

Once you’ve completed your progress notes, you can prompt splose AI to write or format professional email communications.

  1. In the splose AI panel, use a saved prompt or create a new prompt to generate the email content and format you require

  2. Copy the drafted email and click Save as final to save the note

  3. On the finalised progress note, go to Actions then Email progress note

  4. Paste the draft into the body of the email and when the email is ready click Send


Write a letter with splose AI

Generate professional letters with splose AI.

To do this:

  1. In a client file, go to the Letters tab then click + New Letter

  2. Click the splose AI icon ✨

  3. If needed, upload relevant files via the paperclip icon

  4. Use a saved prompt or write a new prompt to outline how splose AI should shape the letter

  5. Review & refine, then click Insert into letter


Use splose AI to book appointments across multiple calendars

For practices that manage multiple locations and practitioners, splose AI can be used to locate the best available spaces to book an appointment.

To use splose AI to find available appointment times:

  1. On the calendar click the splose AI icon

  2. Select the location(s), practitioner(s), service, time and date range

  3. The best available appointment times will then be listed for you to choose from


Troubleshooting

Why can’t I access splose AI?

If you are a practitioner reach out to your account owner/admin to make sure you’ve been added to the splose AI subscription.

If you are an account owner but cannot see the option to subscribe to splose AI, reach out to our support team.


Frequently Asked Questions

Do AI Blocks and Ask AI chat talk to each other?

No. AI Blocks and Ask AI chat operate independently. They don't share context or know what the other has generated, until you have ‘accepted’ AI Block content into your note. Until then, each tool works separately within your progress note.
