AI Blocks change that. They're AI-powered templates that draft note sections in seconds, using your session transcript and client history as context. No more starting from scratch. No more repetitive typing.
Here's how they're different from AI chat: instead of asking questions and copying responses, AI Blocks generate content directly inside your progress notes. You write structured prompts once, embed them in templates, and reuse them across your practice.
The result? For practice managers, standardised documentation across your team. For clinicians, faster notes without sacrificing quality or compliance.
Before you start
You’ll need:
A workspace with splose AI enabled
Users in your workspace who have the splose AI subscription applied

How AI Blocks work
Each AI Block moves through three states as you create your note:
Prompt state - Create or load your prompt. Your AI Block can be empty (ready for a custom prompt), filled with a prompt you've written, or loaded from your library of saved prompts.
Response state - After clicking Generate, splose AI returns a draft. You can accept it, edit the prompt and regenerate, or cancel to return to your original response.
Accepted state - Once accepted, the content becomes regular note text that you can continue to edit.
Important: All AI Blocks must be accepted before you can save the note. Like any AI, splose AI can make mistakes, so always ensure you’re checking that the output is suitable for your needs and is free from errors.
Setting up AI Blocks
You can add AI Blocks in two places: in templates (so they're ready for every note) or directly in progress notes as you write.
Adding AI Blocks to templates
Go to Settings → Templates → Progress notes
Click Edit on an existing template, or click Create new template
In the template editor, insert an AI Block using one of three methods:
Click the ➕ button where your cursor is and select Insert AI Block
Type / and select Insert AI Block
Open the AI Blocks dropdown from the formatting bar and select Insert New
From any of these options, you can:
Create a new AI Block by typing or pasting your prompt
Load an AI Block from your library if you've already saved commonly used prompts
Tip: The prompt you enter in a template’s AI Blocks will appear exactly the same every time that template is used to write a new note.
Pro tip: You can also add AI Blocks inside table cells! This is perfect for structured note formats where you need AI-generated content within specific table sections.
Building your AI Block library
Your library is a powerful tool for saving time. Create prompts once, then reuse them across templates and notes.
To save a prompt to your library:
Open the Actions dropdown within any AI Block
Select Save to Library
Add tags (like discipline, note type, or team name) to organise your library
Your entire team can access the library, making it easy to maintain consistent documentation across your practice.
Using AI Blocks in progress notes
Now that you understand how AI Blocks work, here's how to use them in your day-to-day workflow.
Create your note
Open a client's appointment
Click Add progress note
Select a template (with or without AI Blocks)
Add session context (recommended)
If you're using dictation or transcription, record or upload your session audio now. AI Blocks work without session context, but they generate more relevant content when they can analyse your transcript.
Add AI Blocks on the fly
Even in notes created from regular templates, you can add AI Blocks at any time:
Use the ➕ button, / menu, or AI Blocks dropdown
Create new blocks or load saved blocks from your library
This gives you flexibility to adapt your documentation as the session unfolds.
Generate content
Click Generate on any AI Block, and splose AI will analyse your session transcript and client history to write that section for you.
Or click Generate All to populate every AI Block in the note at once.
Review and refine
Once content is generated, review it carefully. You can:
Accept the response to add it into your note
Edit the prompt by hovering over the top area and clicking the edit button, or opening the Actions dropdown and selecting "Edit prompt"
Press Cancel to return to the original response you received
Click the ✕ icon to remove the AI Block if it's no longer needed
Writing effective prompts
Great output requires a great prompt. When creating AI Block prompts, be specific about what you want generated and what data to use.
Example: Behaviour section prompt
I'm a counsellor completing the Behaviour section of this progress note. First, get the session transcript (transcription) and patient details. Ensure you distill this section into a maximum of 5 dot points focusing on the key observable behaviours, mood indicators, and patient-reported information found in the transcript. Keep statements brief and concise. Only include brief direct quotes when the patient's exact wording adds significant clinical value that would be lost through paraphrasing.
Include:
- Observable actions, statements, and emotions displayed during the session
- The patient's appearance and non-verbal cues noted
- Self-reported information about experiences outside of the session
- Mood and engagement level observed during the appointment
Do not:
- Include interventions provided or the patient's response to them
- Make interpretations or clinical judgements about behaviours
- Include future planning or recommendations
- Include information not explicitly found in the transcript or patient details, or make assumptions beyond what was stated
Best practices for prompts
Specify the section you're writing (e.g., "This is the Behaviour section of a BIRP note")
Mention your profession or discipline for context (e.g., "As a speech pathologist...")
Define the data sources you want AI to use (transcript, previous notes, client details)
Set clear boundaries about what to include and exclude
Specify the format (dot points, paragraphs, maximum length)

Do AI Blocks and Ask AI chat talk to each other?
No. AI Blocks and Ask AI chat operate independently. They don't share context or know what the other has generated, until you have ‘accepted’ AI Block content into your note. Until then, each tool works separately within your progress note.
Can I upload files to Ask AI chat and have AI Blocks access them?

No. Files uploaded to Ask AI chat aren't accessible to AI Blocks. While we're working on file access for AI Blocks, we recommend summarising files in Ask AI chat as usual, then copying that summary into your note manually.

No. AI Blocks generate text content, not tables. However, you can insert AI Blocks inside cells within your existing tables—perfect for structured note formats where you need AI-generated content in specific table sections

You can type notes directly into your progress note (outside of AI Blocks), and AI Blocks can reference that content. Just make sure to mention in your AI Block prompt to look at notes you've written "in the current progress note" so it knows to pull from that context.

Yes. Every AI Block needs a prompt—either pre-filled by your template or typed in manually—before you can generate and accept AI content using AI Blocks.
