Add and write a progress note

Learn how to add a progress note in splose, write and format it with forward-slash commands, and save, finalise or send it to clients.

splose progress notes use forward-slash commands to help speed up your progress note-taking; type / to insert headings, tables, checklists, images, signatures and more, with no fixed sections to work around.

In this guide, we'll show you how to add and write a progress note, save and finalise it, send it to clients, and use formatting tools like tables, AI Blocks and keyboard shortcuts.

Get started with splose Progress Notes

The steps below show you how to create a progress note and start writing with forward-slash commands.

  1. Add a progress note from the calendar by clicking "Add progress note" in the appointment details.


    Alternatively, you can go to a client record and click + New note.

  2. Choose a progress note template and click Create

  3. Simply click the + or type a forward slash (/) followed by the desired command keyword (e.g., "/bullet list" or "/Image").

  4. splose will recognise the command and provide options or automatically insert the element into your note.

  5. Start typing your notes as usual.

Save as Final

When a note is complete, finalise it to lock it as a formal record.

  1. Once a note is completed, select "Save as final".

  2. You can revert a note back to draft within 48 hours before it becomes finalised.

  3. After 48 hours, only an addendum can be added.

Please note that if you have access to the AI Blocks feature, you can use these within the addendum.

AI Blocks can help you draft the addendum. AI Blocks will also have access to the client's previous progress notes, their details, and the transcript used in the session.


Send a progress note

You can also select several notes and send them at once, optionally as a password-protected file.

To send a progress note:

  1. Open the progress note, click Actions at the top of the page, then Email progress note.

  2. Edit the content of the email and when ready click Send.


Send multiple progress notes in bulk

You can also send multiple progress notes in bulk.

If you would like the files to be sent as a password protected file, enable 'Secure PDF email attachments' by going to Settings > Details and scrolling down to Secure PDF email attachments and setting the toggle ON.

The files will be sent as a password protected zip file, using the client's date of birth in the following format: YYYYMMDD

To send multiple progress notes in bulk:

  1. In the client file, go to Progress notes.

  2. Tick the boxes next to the progress notes you wish to send, and in the purple pop up bar at the bottom of the page, click Send.

  3. Edit the content of the email and when ready click Send.

You can add AI Blocks directly into a note using forward-slash commands.

Taking advantage of Tables for progress note structure

Tables help structure your notes and make them easier to read. Here's how to create and edit them.

Forward slash / and select Table to create a table. A default table with 3 rows and 3 columns will be created.

To add content to a cell, simply forward slash / and select a content block. Navigate in any direction between cells using the arrow keys. ← → ↑ ↓ ↖ ↗ ↘ ↙

Access the keyboard shortcuts in a note by clicking the 'Keyboard' icon located in the toolbar.

Copy recent note and Copy recent practitioner note

To copy a previously completed note of the same template, select Copy recent note for a note completed by you or Copy recent practitioner note to copy across the information completed by another practitioner.


Troubleshooting and FAQs

I'm getting "Error generating prompt" when generating my AI Blocks

⚠️ Before performing any troubleshooting with AI Blocks, progress notes, or recordings/dictation/transcriptions, download your audio file to avoid losing the recorded audio.


Failure to save your recorded audio will result in the loss of that session.

To download your audio transcription:

  1. After finishing your recording, navigate to the client's profile.

  2. Click the Files tab.

  3. Your recording should appear as the most recent file. Click the Action (•••) dropdown menu, then click Download.

  4. The file will download to your device.

After downloading your recorded audio, give the following a go in this order:

  1. Reset your progress note recording by clicking on Restart, then confirm the restart.

  2. Upload the file and try again.

If the issue persists, try again in your web browser's Private/Incognito Mode.

Entering Private/Incognito Mode:

The "Add progress note" button is greyed out. Why can't I add a note?

This is almost always a role-permission setting, not a locked appointment. An account owner or admin can enable it in Settings › Permissions & Roles: open the user's role and turn on the progress-note permission.
