Send clients invoices with a payment form

Learn how to send invoices to clients so can pay by card, Apple Pay, or Google Pay.

With online payments enabled, the invoices you send include a 'Pay with credit card' button, so clients can pay by card, Apple Pay, or Google Pay as soon as they open the invoice. Successful payments are applied to the invoice automatically, and you can also take a card payment from the practice side.

Add a 'Pay with credit card' button to invoices

To make it easier for your clients and contacts to pay you online, you can add a 'Pay with credit card' button to your invoices. Here's how:

  1. Go to Settings and then Payments.

  2. Toggle 'Enable online payments for invoices' on.

  3. Choose Stripe as your payment method for credit card payments. Ensure that you have already set up your Stripe integration.

After following these steps, all online invoices will include a 'Pay with credit card' button.


Send an invoice for online payment

Once you've created an invoice, you can send it to your client so that they can pay you online. Here's how:

  1. Click Email Invoice.

  2. Add a message and then click Send.

Alternatively, under Actions you can click Copy public link. You must click Mark as sent before sending the invoice so that the status of the invoice can be updated to Awaiting Payment from Draft. You can now share the invoice link with the client.

How a client pays an invoice

When you email an invoice, your client receives a link to the invoice's public page. That page is built around paying; the amount due sits at the top, and the payment form sits directly on the page.

To pay, your client:

  1. Opens the invoice link from their email.

  2. Checks the amount due at the top of the page. If the invoice has already been partly paid, the amount paid to date is shown alongside it.

  3. Enters their card details in the payment form on the page, or selects Apple Pay or Google Pay. On supported mobile devices, Apple Pay and Google Pay appear automatically.

  4. Selects Pay.

While the payment settles, the page shows a "Confirming your payment" state. Once it completes, the payment is applied to the invoice automatically and the page updates to show the invoice as paid.

What your client sees in other cases

  • The invoice is still a draft: The page tells your client the invoice is not ready for payment. Mark the invoice as sent before sharing the link.

  • Online payments are not enabled: Instead of a payment form, the page shows the bank transfer or other payment details you have entered in the invoice's additional information.


Paying an invoice with online payments enabled from the practice side

To pay an invoice from the practice side:

  1. Go to the Invoices tab and open the relevant invoice.

  2. In the top right of the screen, click Pay.

  3. On the drop-down list, beneath splose Payments (Stripe), click Pay Online.

  4. Enter the amount and the client's card details or select a saved card. Once you've ensured the client has authorised the payment, click Pay.


Troubleshooting and FAQs

My clients used to see a "Pay with credit card" button. Where has it gone?

The invoice page no longer uses a separate button. The payment form now sits directly on the page, so clients can pay without opening anything first.

If your client sees no payment form at all, check that online payments are on in Settings then Payments, that Stripe is connected, and that the invoice is not still a draft.
