Set up and manage products

Create, configure, and manage products in splose, including setting up options, variants, pricing, and stock tracking.

splose lets you add and manage all products sold across your business locations. Track stock levels per location, set pricing per variant, and add products directly to invoices.

This guide covers how to add a product, create options and variants, make products available at your locations, manage stock, and add products to invoices.


Before You Begin

  • You must have products set up in splose before you can add them to invoices.

  • To sell a product at a location, you must mark it as available at that location before it will appear on invoices.


How-to

Add products

Follow these steps to create a new product in splose.

  1. Navigate to the Products tab. If you're unable to see this in the navigation bar, click More > Products.

  2. Click + New Product.

  3. Enter a Name for the product (e.g. "Foam Roller").

    1. Add a category to help you find the product easily when adding it to an invoice

    2. Add a description for the product (for your internal references only)

    3. Enter an item code that appears on invoices

    4. Add the vendor responsible for selling the product

    5. Select the tax rate for your product

  4. Click Save.


Create an option

You must add at least one option before you can save a product β€” even if your product has no variations.

πŸ’‘ Setting up a single product? Enter the product name in both the Option name field and the Option values field β€” not the price or any other value. Whatever you enter as the Option value is what appears in the product dropdown on invoices. If you enter a price here by mistake, the price will show instead of the product name.

  1. Navigate to the Products tab.

  2. Select the product that you would like to add an option to.

  3. Click the Actions (β€’β€’β€’), then select Edit.

  4. Scroll down to Options, then select Add New Option.

  5. Enter an Option name β€” this describes the type of variation, such as "Size" or "Colour." For a single product with no variations, use the product name.

  6. Enter one or more Option values β€” these are the individual choices within that option, such as "Small" or "Green." For a single product, enter the product name again here.

  7. Click Save.

  8. Your list of options will now be displayed along with the values.


Add variants

Variants are the specific combinations of your options. You need at least one variant, even for a single product.

πŸ’‘ Single product? The Name field in the variant modal is a dropdown β€” it's populated automatically from the Option values you created in the previous step. You can't type into it freely. If the dropdown is showing a price instead of your product name, go back and edit the Option value to the product name first β€” the variant Name will update accordingly.

  1. Navigate to the Products tab.

  2. Select the product that you would like to add a variant to.

  3. Click the Actions (β€’β€’β€’), then select Edit.

  4. Scroll down to Variants.

  5. Select Add New Variant or Add Missing Variants.

  6. Click Add all missing variants to automatically generate all combinations, or add variants individually.

  7. Deselect any combinations you don't carry.

  8. Select the product name from the Name dropdown for each variant.

  9. Enter an SKU, Price, and Unit of measure as needed.

  10. Click Save.

  11. For each variant, select the product name from the Name dropdown.

  12. Enter an SKU, Price, and Unit of measure as needed.

  13. Click Save.


Make the product available and track stock

Set the initial stock count for each location

You can select which locations stock the product and choose whether to track inventory at each one. If you don't track stock, you can sell unlimited quantities via invoices.

  1. Expand the location table for the product.

  2. Select the Available checkbox for the relevant location.

  3. If you want to track stock, enable Track stock and click Manage Stock.

  4. Click + Add stock, enter the opening quantity, and click OK.

Add stock

  1. Click the three dots under Actions.

  2. Click Add stock.

  3. Enter the amount to add and the reason.

  4. Click OK.

To adjust stock later, click the three dots under Actions and choose Add stock, Remove stock, or Adjust stock as needed.

Remove stock

  1. Click the three dots under Actions.

  2. Click Remove stock.

  3. Enter the amount to remove and the reason.

  4. Click OK.

Recount stock

  1. Click the three dots under Actions.

  2. Click Adjust stock.

  3. Enter the new total stock count.

  4. Click OK.


Add products to invoices

Once your products are set up and marked as available, you can add them to invoices.

  1. Go to Invoices and click Create a new invoice.

  2. Fill in the invoice details, then add a new line item and select Product.

  3. Begin typing to search for the product.

  4. Select the product from the list β€” it will appear as a line item on the invoice.

πŸ“ Note: If your product doesn't appear, go to the Products tab, click Manage stock, and confirm the product is marked as available at the correct location.


Things to Note

  • The Name field in the variant modal is a dropdown, not a free-text field. It's populated from your Option values β€” you can't type into it directly.

  • If your product has no variations, you still need to create one option and one variant. Use the product name for both the Option name and Option value.

  • If you choose not to track stock at a location, you can sell unlimited quantities of that product on invoices.

  • Dragging and dropping variants into a different order is not currently supported.


Frequently Asked Questions and Troubleshooting

Can I drag and drop variants into a different order?

At this stage, dragging and dropping variants is not supported.

My product is showing a price (e.g. "3.00) in the invoice dropdown instead of the product name. How do I fix it?

This happens when the Option value is set to a price instead of the product name. Go to the product, edit the Option, and update the value to the product name. The variant Name field updates automatically β€” you don't need to recreate the variant.
