You can add all products that you sell at your business locations from your workspace and track the stock for different options and variants.

This help guide will cover:


Add products

Go to Products, then click + New product.

You should do the following:

  • Give your product a name, like resistance bands.

  • Add a category to help you find the product easily when adding it to an invoice

  • Add a description for the product (for your internal references only)

  • Enter an item code that should appear on invoices

  • Add the vendor responsible for selling the product

  • Select the tax rate for your product (which syncs to Xero)

You must add at least one option, even if your product is a single product. Then click Save.

❓ A product option is a unique type of variation, such as size, shape and colour with individual values. Then click Save.

In this example, the product has two options for Size and colour.

📝 Note: If your product is a single product, enter the product name in the name field, then again in the values field.

Your list of options created will now be displayed along with the values.

Now, you must add at least one variant, even if your product is a single product. A product variant is the individual choices within the product options, like Small (Length), Green (Colour) or Level 2 (Length), Blue (Colour) etc.

Click Save.

📝 Note: If your product is a single product, select the product from the name field. There will only be one variant, which will act as a single product.

Once selected, you can:

  • Add an SKU

  • Enter the product price

  • Select the unit of measure for the variant from the available list of measurements, or enter your own unit of measure.

You can click add all missing variants to automatically create all variants that have not yet been created.

You should go through every variation and add the details for the product.

Once done, click the stock icon.


Track stock across locations

Set the initial stock count for each location

You can select the locations that the product is available at, and then decide if you want to track stock for that specific location. If you choose not to track stock, you can sell unlimited items by adding them to invoices.

If you want to track stock, check the Track stock checkbox.

To set the initial stock count under actions, click adjust stock.

You must enter the total stock amount on hand and provide a reason for the stock adjustment. Then click OK.

Add stock

Click the three dots under actions and click Add stock. Enter the amount to add and the reason, then click OK.

Remove stock

Click the three dots under actions and click Remove stock. Enter the amount to remove and the reason, then click OK.

Recount stock

Click the three dots under actions and click Adjust stock. Enter the new total amount of stock, then click OK.


Syncing products to Xero

When you add products to invoices, the invoice items will be synced with Xero. For example, pricing, tax rate and accounts will be synced with Xero.
