splose includes a list of cancellation reasons when you join. To view and add more, go to Settings, then Cancellation reasons and create a list of cancellation reasons for appointments. Users can select these cancellation reasons when cancelling an appointment for a client. Additionally, these reasons can be configured to appear on invoices, providing clarity and compliance with requirements, such as NDIS codes.
Click + Add cancellation reason to create a new cancellation reason. Ensure you include all necessary details, such as cancellation codes required for compliance (e.g., NDIS).
Press Save when you are ready to add the new cancellation reason. Once saved, these cancellation reasons can be enabled to appear on invoices, ensuring they are part of your billing workflow.

Now, when you cancel an appointment, you will be able to select a cancellation reason. To go further, you can also ensure cancellation details are displayed on invoices by configuring your invoice settings.
Show cancellation details on invoices
To display cancellation reasons on your invoices:
Go to Settings โ Invoices
Scroll to the Invoice templates section
Toggle on the option to include cancellation details
Choose which details to show:
Cancellation code
Cancellation reason
Notice period
Notes
Make sure youโre using a template that supports cancellation info when creating your invoices.
Troubleshooting uninvoiced report discrepancies
If invoiced entries still appear in the Uninvoiced Report:
Check the specific entries listed
Look for duplicate or archived appointments- these often cause inconsistencies
Only active and relevant appointments should be invoiced to keep your reports accurate
Keeping appointment data clean helps avoid errors and keeps your invoicing workflow running smoothly.
