Manage pending invites and inactive users

Retain practitioners while cancelling their pending splose invite.

Admins and practice managers can invite practitioners into splose. While an invite is pending, the practitioner can already be booked into appointments, have notes attached, and have billing records against them.

Cancelling a pending invite moves the practitioner to Inactive rather than deleting them, and you can re-invite them later.

Inactive users have to re-verify themselves when reactivated, so the original invitation link can't be used to gain access.


Before you begin

  • Admins and practice managers can invite practitioners into splose. While the invite is pending, the practitioner can be booked into appointments, assigned attached notes, and have billing records.

  • Previously, if a practitioner had a pending invite cancelled, they would be deleted from the system. Now, they will be moved to an inactive table, with their records retained.

  • Inactive users will be required to re-verify themselves when reactivated to ensure unauthorised access cannot be obtained using the original invitation link.


Cancel a practitioner's pending invite:

  1. Head to your Workspace Settings.

  2. Under the Team section, select the Users tab.

  3. Locate practitioners with pending invites:

    1. By scrolling manually and locating Invited status, or

    2. By selecting the Status filter, which will group users with the Invited status.

  4. Select the Action (•••) button for the user you would like to cancel the invite for.

  5. Select Cancel Invite.


Reactivate a practitioner

  1. Head to your Workspace Settings.

  2. Under the Team section, select the Users tab.

  3. Locate deactivated practitioners by selecting the Status filter, then selecting Inactive.

  4. Select the Action (•••) button for the user you would like to activate.

  5. Select Reinvite user.

  6. Click Invite User on the modal that appears.


Troubleshooting & FAQs

I get "email address already used" when adding or updating a user. What does that mean?

That email is still attached to another user in your workspace, often a deactivated or duplicate profile. Free it up first: go to Settings › Users, filter to Inactive users, open the profile holding the email, and change its email address; you can then use it on the correct user. If you no longer have access to the old or new email address to verify the change, contact support and we can update it for you.
