Invoicing and payment workflows for appointments

Learn how invoicing and payment work for appointments, including payment links, invoice reminders, and batch invoicing.

splose gives you several tools to invoice clients and collect payment for appointments: online payment links through Stripe, invoice reminders, and batch invoicing. Invoices aren't generated automatically after an appointment, so the first step is manual, but you can streamline most of the workflow from there.

  • To collect online payments or include a payment link on an invoice, you need Stripe connected. See Set up Stripe.


How-to

Include a payment link when invoicing an appointment

Invoices aren't created automatically after a manually scheduled appointment, so to send a client a link to pay:

  1. Create the invoice in splose.

  2. Copy the invoice's public payment link.

  3. Paste the link into your email, or into your email template.

  4. Mark the invoice as Sent so invoice reminders can trigger.


Collect payment at online booking

To collect payment before the session, require payment during the online booking process. If a client later needs their money back, you can refund it or hold it as account credit on their profile.


Use invoice reminders

Invoice reminders prompt clients to pay outstanding invoices.

  1. Go to Settings → Invoices.

  2. Add an overdue invoice reminder.

Reminders don't send based on the appointment date — they run against the invoice once you've created and sent it. See Set up invoice reminders.


Batch-invoice multiple appointments

Use batch invoicing to create invoices for uninvoiced items across multiple clients and third parties at once, useful when catching up on a large number of appointments. See Batch invoicing.


Things to Note

  • Invoices aren't generated automatically after an appointment. The first invoice is always created manually, individually, or in bulk with batch invoicing.

  • Payment links can't be added automatically to appointment reminder emails or texts. Collect payment at online booking, or add the invoice's public payment link to your email manually.

  • Online payments and payment links require Stripe.


Troubleshooting and FAQs

Can splose automatically invoice a client after their appointment?

No. Creating the invoice is a manual step. Batch invoicing lets you create invoices for many appointments at once to save time.

Can I add a payment link to appointment reminders?

Not automatically. To collect payment before the session, require payment at online booking. Otherwise, create the invoice, copy its public payment link, and add it to your email manually.

Do invoice reminders send based on the appointment date?

No. Reminders run against the invoice after you've created and sent it, on the schedule you set under Settings → Invoices.
